Booking Management

Bookings are scheduled appointments with specific dates, times, and services. Tiquo provides comprehensive booking management with real-time availability, staff assignment, and automated notifications.

Creating Bookings

Quick Booking

The fastest way to create a booking:

Open New Booking

Press N or click New Booking

Select Customer

Type customer name or create new

Choose Services

Add one or more services

Pick Time

Select from available slots

  • Search existing customers by name, email, or phone
  • View customer history and preferences
  • Create new customer inline if needed
  • Associate with company account
  • Browse services by category
  • Add multiple services
  • Adjust quantities
  • View duration and pricing
  • Add custom items
  • Select date from calendar
  • Choose time from available slots
  • Assign specific staff member
  • Select room/resource
  • Set duration override
  • Customer notes and preferences

  • Deposit or prepayment

Availability System

How Availability Works

Tiquo calculates availability based on:
  1. Location operating hours
  2. Staff schedules and availability
  3. Existing bookings
  4. Resource/room availability
  5. Buffer times between appointments
  6. Lead time requirements

Viewing Availability

The booking calendar shows:
  • Green slots: Fully available
  • Yellow slots: Limited availability
  • Gray slots: Unavailable
  • Hover details: Why slot is unavailable

Overbooking

By default, double-booking is prevented. Admins can:
  • Override conflicts with confirmation
  • Enable parallel bookings for specific services
  • Configure resource-based availability
Staff can only be booked during their scheduled working hours.

Staff Assignment

Automatic Assignment

Let Tiquo assign based on:
  • Staff availability
  • Service qualifications
  • Fair distribution
  • Customer preferences

Manual Assignment

Choose specific staff:
  1. During booking creation, click Assign Staff
  2. View available staff for the time slot
  3. See each staff member’s schedule
  4. Select preferred staff

Any Available

Select “Any Available” to:
  • Find first available time
  • Assign during check-in
  • Allow customer flexibility

Daily View

See all bookings for one day:
  • Timeline by hour
  • Staff columns
  • Room/resource rows
  • Drag to reschedule

Weekly View

Overview of the week:
  • Booking density visualization
  • Quick navigation between days
  • Week-over-week comparison

Monthly View

High-level monthly overview:
  • Booking count per day
  • Busy vs. quiet days
  • Plan staffing needs

Resource View

View by room or resource:
  • Room utilization
  • Equipment scheduling
  • Table assignments (for restaurants)

Managing Bookings

Editing Bookings

Click any booking to edit:
  • Change services
  • Update time
  • Reassign staff
  • Modify notes

Rescheduling

Quick reschedule:
  1. Open booking
  2. Click Reschedule
  3. Select new date/time
  4. Confirm change
  5. Notification sent automatically
Or drag-and-drop in calendar view.

Cancellation

Cancel a booking:
  1. Open booking
  2. Click Cancel
  3. Select reason
  4. Choose notification options
  5. Confirm
Cancellation options:
  • Send cancellation email
  • Issue refund (if prepaid)
  • Add cancellation fee
  • Update customer no-show count

Check-in

When customer arrives:
  1. Click Check In
  2. Confirm services
  3. Optionally update details
  4. Status changes to “In Progress”

Completion

After service delivery:
  1. Click Complete
  2. Adjust services if needed
  3. Process payment
  4. Send follow-up (optional)

Recurring Bookings

Creating Recurring Bookings

Create Initial Booking

Create the first booking normally

Click Make Recurring

Open booking and click Make Recurring

Set Pattern

Choose frequency:
  • Daily
  • Weekly (select days)
  • Bi-weekly
  • Monthly (date or day)

Set End

End after X occurrences or by date

Review & Create

Review all instances and confirm

Managing Recurrence

  • Edit single occurrence
  • Edit entire series
  • Cancel single occurrence
  • Cancel remaining series
  • View all related bookings

Waitlists

When slots are full:

Adding to Waitlist

  1. Customer requests unavailable time
  2. Click Add to Waitlist
  3. Include contact preference
  4. Customer is notified if slot opens

Managing Waitlist

  • View waitlist for any date
  • Manually offer slots
  • Automatic notifications (optional)
  • Waitlist priority/order
