Mews
Connect Mews to synchronize guests, companies, stays, and hotel charges with Tiquo, and run the front desk for Mews stays from Tiquo.
All dashboard users can browse the Integration Marketplace. Connecting Mews is currently arranged by Tiquo. Contact your Tiquo account contact or support team to arrange a connection. The steps below cover the access and configuration needed for setup.
The Mews integration keeps hotel guest and stay data available in Tiquo. Staff can book and run Mews stays from Tiquo, take payments towards a stay's Mews bill, and add a Tiquo order to a checked-in guest's room bill.
Before you connect
You need a Mews Access Token and must know whether it was issued for the Mews Production or Demo environment. A token only works in the environment where it was created.
Use a property Access Token for one hotel. For a Mews Multi-Property portfolio, use the Portfolio Access Token. Tiquo supplies the certified application token used by the connection.
Connect Mews
- Go to Settings > Integrations and select Mews.
- Choose Production or Demo.
- Paste the property or portfolio Access Token.
- On a Demo connection only, paste a Mews Client Token (optional) if Mews gave you one with the Access Token, such as for a demo portfolio. Leave it empty to use Tiquo's. Production connections always use Tiquo's certified token.
- Select Connect Mews.
Tiquo checks the token and discovers the properties it can access. A portfolio connection lists every authorized property. Remove a property ID only when that property should be excluded from this Tiquo connection.
Choose what to import
Set the number of past and future days to include. The past window can be up to 365 days and the future window can be up to 730 days. Add Mews service IDs if only particular accommodation services should be imported.
Turn on Mews to Tiquo to import:
- guests and companies
- reservations and stays
- operational orders and bills
- payment states and accounting categories
The first sync starts after the settings are saved. Later syncs keep linked records up to date.
Preview before you save
Under Preview before you save, select Count records to see what saving would start. The preview uses the settings in the dialog, including changes you haven't saved, and nothing is imported or sent.
For the first import, it counts the guests (new customers, guests linked to an existing customer by email, and guests already linked), the companies and the stays in the date window. Stays are listed by Mews service with the Tiquo booking service they will use. Stays on a Mews service with no Tiquo booking service are flagged, because they won't import until you choose a default booking service or add an override.
With Tiquo to Mews on, it also counts the guests and companies already in Mews that Tiquo keeps in sync. A + after a count means the list was too long to count in full.
Live updates
Changes made in Mews reach Tiquo within seconds. Mews notifies Tiquo of each change, and Tiquo then fetches the stays, charges, guests or payments that changed. Tiquo also checks stays every 5 minutes, so a missed notification is caught on the next check.
The status line under Data flow shows when the last live update arrived, or says that no live update has arrived yet.
Guest and company sync
Guests and companies come from Mews. Tiquo keeps a stable link to each Mews record and uses it for later updates. A Mews guest whose email matches an existing Tiquo customer is linked to that customer instead of creating a duplicate.
With Tiquo to Mews also on, edits made in Tiquo to those linked guests and companies go back to Mews. Customers and companies created in Tiquo stay in Tiquo and are never sent to Mews. The only time Tiquo creates a guest in Mews is when staff book a stay in Tiquo for someone Mews doesn't have yet.
Some Mews fields only come into Tiquo and are never sent back, such as guest notes, nationality, language and classifications.
Choose how conflicting changes to a guest or company that exists in both systems are handled:
- Newest update wins uses the most recently changed version.
- Mews wins keeps the Mews version.
- Tiquo wins keeps the Tiquo version.
For a Multi-Property portfolio, choose the Chain for guests Tiquo books stays for. It is used only when Tiquo books a stay for a guest Mews doesn't have yet. Existing Mews guests and companies stay in their own chain.
Every guest on a stay comes into Tiquo. The guest who owns the reservation is the stay's primary customer, and each companion becomes a customer added to the stay as an attendee. Everyone on the same stay is connected to each other as a customer relationship. Guests Mews removes from a stay are removed in Tiquo too.
Settings shows every record and field the connection moves, and in which direction, under What syncs with Mews.
Map stays to Tiquo services
Under Booking mapping, choose the Tiquo sublocation for Mews stays, then a Default Tiquo booking service from that sublocation. Stays and their Mews charges appear on this sublocation's calendar.
If the Mews account uses several accommodation services, select Add override under Mews service overrides for each Mews service that should create bookings under a different Tiquo service. Choose the Mews service by name from the list, then the Tiquo booking service.
A stay cannot be created in Tiquo when its Mews service has no matching Tiquo service and no default has been selected.
Portfolios: one sublocation per hotel
For a hotel group, give each hotel its own Tiquo sublocation, so each one has its own currency, time zone and calendar. Add an override for each property's accommodation service and map it to a booking service in that hotel's sublocation. The properties are named next to each Mews service in the list.
Each hotel's sublocation then has its own front desk: New Mews stay on its calendar quotes only the Mews services mapped to it, and its rooms are mapped separately under Rooms.
Map rooms
Under Rooms, select Load Mews rooms, then choose the Tiquo room for each Mews room. Match by room number pairs rooms with the same number, for example Mews room 0101 with Tiquo room 101. For a portfolio, rooms are grouped by property, and each property's rooms are matched against the Tiquo rooms of its own sublocation. With a service filter, only that service's rooms are listed.
A mapped stay sits in its room on the calendar for every night, and moving it to another mapped room moves it in Mews. A Mews stay in an unmapped room shows as unassigned. A Tiquo room must be connected to the booking service before a stay can be moved into it.
If you connect a different Mews property, mappings to rooms the new property doesn't have are listed with a Remove old mappings button. Remove them to free those Tiquo rooms for mapping again.
Run the front desk from Tiquo
With Tiquo to Mews on, staff can book and run Mews stays from Tiquo. Every change is sent to Mews a moment later. If Mews refuses a change, for example because the room isn't free, Tiquo puts the stay back as Mews has it. The calendar and the Bookings page show Mews's reason in a message, and the stay shows the refusal, with its time, for an hour. The refusal is also written to the stay's history.
Stays on the calendar
On the Bookings calendar's room timeline, a stay is one bar from check-in to check-out, led by the guest's name. The day, week, month and agenda views show the stay on each of its days, led by the guest's name, with where the guest is that day instead of repeating the check-in time:
- Check-in with the check-in time on the arrival day
- In house · night 2 of 3 (for example) on the nights in between
- Check-out with the check-out time on the departure day
These daily copies can't be dragged. To move a stay, use Change dates or drag its bar on the room timeline.
In the bookings list, a stay shows its room type and room number. A stay without a room isn't on the calendar: use Assign or move room in the bookings list to put it in one.
Book a new stay
Staff with the Create & manage orders permission can select New Mews stay on the Bookings page or on the sublocation calendar.
- Search for the guest, or select New guest and enter their details.
- Enter the arrival and departure dates and the number of adults and children, then select Check availability.
- Choose a room type and rate. Prices come from Mews.
- Optionally choose a room, or leave Let Mews assign it. To book several rooms at once, increase Rooms and enter a Group name.
- Add any Notes for Mews, then select Book for followed by the price.
Mews confirms availability, and the stay appears on the calendar as soon as Mews has booked it. When Mews sends the guest emails, you can choose whether Mews sends its confirmation email.
Mews blocks on the Bookings page lists rooms held in Mews for a group or event. Staff can hold rooms in a new block, book stays into a block at its rate, or release rooms that aren't needed.
Check in, check out and no-shows
Open a stay from the calendar, or use its actions in the bookings list:
- Check in opens on the arrival day. Before then the bookings list shows Arrives with the date instead.
- No-show (Mark As No Show in the bookings list) also opens on the arrival day. Mews cancels the stay and posts the no-show or cancellation fee of its rate on the bill. The guest isn't emailed.
- Check out opens on the departure day. To leave earlier, change the dates first. Mews only checks a guest out once their bill is settled.
When an action isn't available yet, the stay says when it opens.
Change dates
Change dates sets a new arrival and departure. Mews prices the new nights with the stay's rate and checks that the room is free. Once the guest is checked in, only the departure can change. Stays can't be rescheduled like other bookings: use Change dates, or drag the stay to its new dates on the Bookings calendar.
Move room
Move room on the calendar, or Assign or move room in the bookings list, puts the stay in another mapped room. Mews checks that the room is free.
Cancel a stay
Cancel stay is available until the guest checks in. You can choose to charge the cancellation fee of the stay's rate in Mews and add a note for Mews. Mews emails the guest the cancellation, unless Tiquo sends guest emails (see below).
Housekeeping
On the calendar, each mapped room shows its housekeeping state from Mews. Select it to mark the room Dirty, Clean, Inspected or Out of service, or choose Out of order for dates to stop Mews selling the room for those days. On a portfolio connection, change room states in Mews: Mews doesn't allow them from a hotel group connection.
Guest emails
Under Guest emails, choose who emails guests about their stays:
- Mews, or a CRM connected to Mews: Tiquo sends no booking emails for Mews stays. Cancellations made in Tiquo are emailed by Mews.
- Tiquo: Tiquo confirms stays booked from then on, emails the guest when Mews reports a change or cancellation, sends the reminders and follow-up of the hotel's booking flow, and runs your booking automations for Mews stays.
If you choose Tiquo, turn off the guest emails in Mews and in any CRM connected to it, or guests receive both. The setting shows the date from which Tiquo has sent guest emails.
Stay bills and payments
Each Mews stay's order shows Billed in Mews instead of a total: the stay's nights, extras and payments are on its Mews bill. The order page has no Legacy badge, zero-value price rows or payment card, and the stay's line shows the Tiquo room type. In the orders list, Home's recent orders, a location's recent orders and a customer's Orders tab, these orders show Mews stay and Billed in Mews instead of a total.
Select Mews bill and payments on the stay or its order to open the Mews bill. It shows the balance due, what makes it up, and the payments in Mews. Staff with the Create & manage orders permission can:
- Take a payment: charge a card Mews holds for the guest (Card in Mews, single properties only), have Mews email the guest a payment link (Mews link), or take the payment in Tiquo (Tiquo terminal or link). A payment is never more than the open balance.
- Refund a Mews card or online payment through Mews.
- Add to the stay: add an extra from Mews. Mews prices it with the stay's rate.
Charges posted to a stay in Mews, such as food, drink, minibar, retail, service charges and surcharges, come into Tiquo as orders on that stay, including charges posted to other Mews services such as a restaurant. The room itself, deposits and city tax are not imported as orders.
Payments taken in Tiquo
To offer Tiquo terminal or link, choose a payment type under Payments taken in Tiquo. Tiquo records each payment it takes on the Mews bill as this Mews payment type. The list shows the external payment types enabled in Mews. If none is listed, enable one in Mews (Settings > Finance > Accounting configuration) first.
For a portfolio, choose a payment type for each property. A property set to Don't take Mews payments in Tiquo doesn't offer Tiquo payments on its stays.
Mews issues the receipt for these payments, and Tiquo doesn't count them as sales. A payment towards a stay belongs to the stay's guest, even when the payment link is sent to someone else. Refund these payments in Tiquo: the refund is recorded on the Mews bill as a negative payment, so the bill shows the balance again.
Configure bill to room
Bill to room requires Tiquo to Mews to be enabled. Under Bill to room, choose the Mews service in Post charges to. You can also choose an Accounting category if the hotel files these orders under one. Both lists are loaded from Mews, so there are no IDs to copy.
Set the Mews pricing mode to match the property's pricing in Mews, gross (tax included) or net (tax excluded). Under Tax mappings, select Add tax rate for every Tiquo tax rate your orders use and enter the exact Mews tax codes for it: one code with gross pricing, or comma-separated codes with net pricing. For untaxed items, add a 0% rate and leave the codes empty.
For a portfolio connection, choose the service, pricing mode and tax mappings separately for each property. This keeps every charge on the correct hotel ledger.
The Bill to room in Mews payment option is available only when:
- the order belongs to a booking imported from Mews
- Mews has marked the reservation as Started, meaning the guest is checked in
- the connection and outbound actions are active
- the property has a service selected in Post charges to
- the property has a pricing mode and a tax mapping for every tax rate on the order
- the reservation has a billable guest account
- the order has not been cancelled or refunded
- the order is in the same currency the hotel bills in
Mews would convert an order in another currency into the hotel's, so the guest would not be billed what Tiquo sold. Tiquo refuses the charge instead and asks staff to take payment in Tiquo.
Select the option while processing payment to add the order to the guest's Mews bill. The order detail records the room charge. An order charged to a room can't be refunded in Tiquo. Staff with refund permission can open the order and select Reverse Mews room charge if the charge needs to be reversed in Mews.
Troubleshooting
If the connection is rejected, first check that the selected environment matches the token. Then confirm that the token still grants access to at least one property.
If a stay does not appear in Tiquo, check the date window, service filter, and booking service mapping. Count records shows stays that are on an unmapped Mews service. If bill to room is unavailable, the payment panel shows the missing condition, such as a guest who has not checked in or a property with no charge service.
If Tiquo says Mews is busy, Mews has received too many requests from the property for the moment. Wait a minute and try again.
Open Data flow health to see each import and any failed sends to Mews. Select Retry failed imports or Retry failed sends after fixing the cause, or Dismiss failed sends for changes you no longer want to send. See Integrations.
